  1. Context

CHU Brugmann (public university hospital, IRIS network, Brussels) has deployed Microsoft 365 and is migrating several historical versions of Office to this unified platform. In the absence of coordination, three risks have been identified: uncontrolled multiplication of collaborative spaces, document dispersion, and insufficient adoption of the solutions due to a lack of understanding of the new possibilities these tools offer for work organization. The third risk is the most significant: having the tools is not enough if the teams do not perceive their value for their daily activities.

  1. Objective

The mission aims to coordinate the adoption of Microsoft 365 across all departments, train and coach users — including individually and in large numbers — and act as a bridge between business needs and technical managers to guide configuration choices in the best interests of both IT and business, while respecting hospital constraints: security, patient data confidentiality, regulatory compliance.

  1. Scope

The scope covers all Microsoft 365 suite solutions made available to staff, with priority given to Teams, Outlook, SharePoint, OneDrive, and Copilot.

User adoption and support: design and deliver a training program tailored to different profiles (care staff, administrative staff, management), provide close coaching including on an individual basis, and lead a network of internal ambassadors ("digital champions") in each department.

Business – IT alignment: arbitrate with technical managers on key configuration decisions — organization and nomenclature of spaces, controlled creation, internal and external sharing, sensitivity labels, data loss prevention, retention and lifecycle — and document these decisions.

Project coordination: establish and maintain the project plan, facilitate project committees, monitor risks and dependencies, and produce reporting.

The ability to design and develop automations (Power Automate) as well as a good understanding of identity and access mechanisms is a significant asset and will be valued in the evaluation of applications.

Initial duration of 3 months, renewable.

Full-time mission on the Brussels site: on-site presence is required at least four days per week, with one day of remote work per week possible. However, full on-site presence is preferred, as the mission is largely based on conducting workshops and providing close support to teams.

Start as soon as possible.

The holder reports to the IT Department and the Steering Committee, chaired by the Strategy & Transformation Department. They work closely with the teams of the IT Department and the Strategy & Transformation Department.

  2. Profile combining Microsoft 365 adoption and change management experience with strong project coordination skills, having worked in a complex environment (hospital or public sector).

  3. Mastery of M365 governance models (nomenclature, space lifecycle, rights management, archiving).
  4. Proven ability to train and support non-technical users, both collectively and individually, and to foster buy-in from teams whose primary focus is care.
  5. Ability to communicate with technical profiles to guide configuration.
  6. Awareness of GDPR and health data.
  7. Native French or equivalent, professional English; professional Dutch is an asset.

Homogeneous and sustainable adoption of the tools across all departments, a reduction in uncontrolled creation of spaces, documented practices, improved compliance, and increased productivity — in support of a shared digital culture.

  1. Terms

Maximum rate: €720 per day excl. VAT, including travel expenses.
