Manager Office Design, Furniture and Relocation

ABOUT US
You will be part of the Construction Projects department of the Facilities Company, with the Herman Teirlinck building as the main office on the Thurn & Taxis site in Brussels. The Construction Projects department manages and coordinates construction projects from design to completion for the Flemish government, both for departments, Internally Autonomous Agencies, and Externally Autonomous Agencies.

The Construction Projects department consists of about 90 employees in 4 teams, supported by several internal consultants and experts in specific fields.

As manager for office furnishing, furniture, and relocation, you will join the Study & Coordination Construction Projects team. The team consists of approximately 36 project managers and assistant project managers, organized into 3 groups of about 10 colleagues each, with a portfolio of projects. You will start within the group responsible for large (re)housing projects and interior projects within our offices.

ABOUT THE POSITION

As manager for office furnishing, furniture, and relocation, you will contribute to our relocation projects and lead our office moves from start to finish. On the one hand, you will monitor, within the project team, the proper execution of the office furnishing as well as the correct delivery and placement of the furniture pieces. On the other hand, you are the linchpin in our project team, responsible for the smooth execution of the relocations. As manager for office furnishing, furniture, and relocation, you support the project leaders in both the study and execution phases. Effective communication with clients and stakeholders is essential in this role.

You are expected to draw up detailed relocation plans and coordinate move operations from the old to the new building. To ensure efficiency, you will need to label all furniture with a QR code during the study phase, and before the move, you will label all items to be moved with a relocation sticker. For large projects, you will direct an external company to handle both tasks. Naturally, you are also responsible for quality control upon delivery and placement of both the items to be moved and the newly purchased furniture. As you walk through the office, you must always proactively carry out small checks: were the correct materials installed, are the cables properly in place, are the partitions correctly placed, is the furniture undamaged? You will also seamlessly coordinate the relocation schedule with the office furnishing work schedule.

Task package

Within the manager office furnishing, furniture, and relocation task package, the following tasks are included:

  • Inventory of furniture to be removed and/or relocated, drafting in DWG plans, and creating an Excel inventory
  • Advising the project team about furniture to be moved in terms of practical feasibility
  • Managing the various furniture inventories throughout the project
  • Creating planning for the various move operations within the housing project
  • Labeling furniture to be moved
  • Creating new 'passports' for the furniture
  • Communication and practical preparation for the entities to be relocated
  • Directing and making arrangements with the moving companies during the various move operations
  • Upon delivery and placement by moving companies, carrying out on-site quality control of the moving companies on the day of delivery

You will be involved in, among others, the following challenging relocation projects:

  • Relocations in and to the Herman Teirlinck building
  • Relocations in and to the Conscience building
  • Flemish Administrative Center Mechelen
  • Flemish Administrative Center Antwerp
  • Etc.

Practical information:

  • The rate can be indexed annually according to the price revision clause in the contract
  • Duration is set at 12 months, the contract can be extended upon a positive evaluation
  • There is no mileage allowance; the cost of necessary travel is included in the offered rate. Free parking is available in the Herman Teirlinck building if desired.
