Profile SharePoint consultant knowledge management
Context:
The FPS Social Security is launching an Information and Knowledge Management (IKM) program to modernize information and knowledge management on Microsoft 365 (SharePoint Online, Teams).
The goal is to develop a sustainable and coherent architecture for information and knowledge management, including:
- a structured SharePoint architecture (hubs, segmentation, collaboration spaces);
- a pragmatic metadata strategy and a coherent folder structure;
- optimized search and navigation functions;
- clear management of access and spaces;
- a multilingual model (NL/FR);
- integration with the existing intranet environment (LumApps).
The Information and Knowledge Management program is responsible for the vision, management, and coordination of business activities.
The IT team ensures technical coherence, security, and integration within the Microsoft 365 ecosystem.
In this context, we are looking for a Senior SharePoint Consultant to strengthen technical expertise and structure the implementation of the target architecture.
Scope:
Bring senior Microsoft 365 / SharePoint expertise to:
- structure and formalize the intended SharePoint architecture;
- provide advice and translate functional guidelines into robust technical implementations;
- ensure the technical feasibility of architectural choices;
- guide the implementation and optimization of the existing environment.
The role is both technical in nature, with the ability to work at the intersection of function and technology.
Work regime and organization:
The assignment is performed on-site (Finance Tower, Kruidtuinlaan 50, Brussels)
This is based on 2 fixed days per week – the specific weekdays are still to be discussed
- 1 day/week focused on knowledge management (architecture, metadata, design);
- 1 day/week focused on IT (implementation, security, integrations).
Operational follow-up (validation of performances, hour tracking, timesheets) is managed by the designated IT responsible.
The performances are subject to:
- validation via timesheet;
- structured collaboration with:
- the Information and Knowledge Management team (vision, needs, trade-offs)
- IT (technical architecture, security, IAM).

Core tasks

SharePoint Architecture & Information Architecture

Develop and document a detailed SharePoint architecture for information and knowledge management, in collaboration with the Knowledge Management and IT departments.
- Design:
- site and hub structures
- information models
- content types
- navigation and overall coherence

Record technical and functional choices in a structured architecture document.

Metadata, Taxonomy & Folder Structure (key point)

Provide expertise in SharePoint metadata strategies.
- Advise on the balance between:
- structuring metadata;
- folder structure;
- automation of tagging where relevant.
- Propose a pragmatic approach that limits user workload while ensuring consistency and findability.
- Establish guidelines for the structuring of libraries (combination of metadata and folders).

Technically implement the choices approved by IKM.

Search & Navigation

Develop a search strategy (Microsoft Search, SharePoint configuration, hubs).
- Optimize findability through site architecture, library structuring, and metadata.

Establish guidelines that ensure consistent, intuitive, and scalable navigation.

Automation & Optimization
-
Identify automation opportunities in the target architecture (site provisioning, metadata, document lifecycle).
- Design and implement mechanisms via Microsoft 365 tools (Power Automate, templates, rules, and policies).

Set up standardized workflows for space creation, archiving, automatic application of labels/metadata, and certain compliance checks.

Access and Group Management
In collaboration with IT (architecture & identity management and security):
- Contribute to defining and implementing a role-based access model.
- Structure the use of Microsoft 365 groups.
- Integrate the principles of least privilege, sensitivity labels, and lifecycle management.

Contribute to alignment with organizational logic where relevant.

Classification & Compliance

Contribute to the development of an operational classification model (sensitivity, retention periods, DLP) in collaboration with IT and security.

Establish principles for technical management, traceability, and auditability.

Integration & Multilingualism
-
Develop a multilingual SharePoint concept (NL/FR).

Contribute to integration with a third-party intranet (LumApps) in collaboration with IT and Communication.

Support & Knowledge Transfer

Organize targeted technical workshops (metadata, architecture, taxonomy).
- Ensure knowledge transfer to internal teams (IKM & IT).
- Document technical implementation standards.
- Incident support remains aligned with the existing IT organization.
Required minimum technical knowledge:
- Master's degree
- At least 10 years of experience in SharePoint and Teams architecture and configuring the collaboration aspects of Microsoft 365.
- At least 5 years of demonstrable experience in setting up document management.
- At least 5 years of demonstrable experience in automation and workflow.
- At least 5 years of demonstrable experience in metadata management.
- At least 1 year of demonstrable experience in M365 access and group management.
- At least 5 years of experience in a complex environment (government organization or large structure).
Additional assets:
- Experience in providing advice and demonstrating clear communication.
Extension
Extension after 31/12/2026 is possible until 31/12/2027 (total number of days is 150 man-days).
